Replenishment Based on Safety/Min Quantity (Video)

Purpose

This function automates replenishment by generating stock requests whenever store inventory falls below the defined safety/minimum quantity. It ensures stores always maintain the minimum required stock.


Prerequisites

  1. Access to Replenishment Module > Setup Replenishment Safety/Min Qty and Replenishment based on Safety Quantity.

  2. Preset Safety/Min Qty configured for SKUs or Products.

  3. Correct warehouse and store mappings maintained in the system.


Steps

Step 1 – Setup Safety/Min Quantity

  1. Go to Replenishment Module > Setup Replenishment Safety/Min Qty.

  2. Click Download Template.

  3. When prompted, choose template type:

    • SKU template → required fields: SKU Code, Safety Qty.

    • Product template → required fields: Product Code, Safety Qty.

  4. Save the template to your PC and populate the required fields.

  5. In the module, click Import and select the populated Excel file.

  6. A prompt will appear to select the Stores to apply the safety quantity.

    • If each store has different safety quantities, import separate files for each store.

  7. Before saving, you may amend quantities for specific SKUs and stores directly in the screen.

  8. Click Save once completed.


Step 2 – Generate Replenishment Job

  1. Go to Replenishment Module > Replenishment based on Safety Quantity.

  2. Click Add.

  3. Use the three-dotted button (…) to select:

    1. Warehouse

    2. Store

    3. (Optional) pre-filter by specific products.

  4. Select Sales History From / To Date.

  5. (Optional) Enter remarks in the Note field.

  6. Click Load.

    • A list of SKUs below the safety quantity will be generated.

    • SKUs above the safety quantity will not appear unless Do not show 0 replenish qty box is unchecked.

  7. Review the generated list. Important columns include:

    1. SKU Code

    2. Warehouse Stock on Hand

    3. Safety Quantity

    4. Store

    5. Replenishment Quantity

    6. Store Stock on Hand
    7. Sales History (reference to help decide order qty)

  8. Amend replenishment quantities if required.

  9. Click Save to save as draft.

  10. Once finalized, click Confirm.

    • A Store Delivery Request document will be generated in the Store Delivery Request module.

    • Picking jobs will also be created for warehouse users to prepare and ship items to the store.


Notes / Tips

  • Always ensure safety/min quantities are set up correctly before running replenishment.

  • If stores maintain different safety levels, import separately for each store.

  • Use Sales History as a guide to adjust replenishment decisions before confirming.

  • Drafts can be reviewed and edited before final confirmation.
